Privacy Policy and Data Protection Notice

This text explains how ReggBook processes user data within the mobile application and reggbook.com. It is an informational draft and does not replace legal advice.

1. Data Controller

2. What is ReggBook?

ReggBook is an appointment, customer and business management tool for barbers, hair salons, beauty salons, pet groomers, nail studios and similar businesses.

ReggBook is not an accounting, tax advisory, audit or official bookkeeping service. Financial and balance screens are provided only for internal business tracking.

3. Data Categories and Purposes

• Account data: name, surname, email, phone, profile and business information for account creation, login and profile display.
• Appointment data: date, time, service, notes and related customer/provider information for appointment management and reminders.
• Customer records: names, nicknames, phone numbers and service notes entered by business users for internal customer follow-up.
• Service, balance and transaction records: internal business records for operational tracking; these do not constitute official accounting records.
• Employee and company relationship data: role, companyId, approval status and access permissions for employee and company workflows.
• Branch and main organization relationship data: mainOrgId, branch companyId values, roles and authority status for branch applications, branch reporting and multi-branch management.
• Notification data: FCM token and notification preferences for appointment and system notifications.
• Subscription data: plan, entitlement, trial and product information for paid feature access and fraud prevention.
• Feedback and complaint data: messages and status information for support and follow-up.
• Technical logs: app version, device/OS information and error logs for security, debugging and service improvement.

4. AI Hair Style Recommendation and Camera Use

The AI hair style recommendation feature is started only by the user or authorized business user. Camera frames are processed temporarily on the device to generate style recommendations.

• No photo or video is saved.
• Camera images are not uploaded to ReggBook servers or Firebase.
• No face image, face map, biometric template, face metrics or face type result is stored.
• If a style is selected, only the selected style file name or image reference may be associated with the customer record for later reminder or recommendation purposes.

5. Branch Management and Authorized Access

When a multi-branch business structure is used, the main organization administrator / superOwner may review branch applications and access or manage connected branches, appointments, employees, timesheets, customer records, working hours, campaign data and service records.

This access is limited to operating the branch management feature, maintaining service continuity, transferring authority, closing branches, termination processes and dispute management. The relevant users and businesses are responsible for actions performed under their authority.

6. Legal Bases

• Performance of the user agreement and provision of the service.
• Legal obligations where applicable.
• Legitimate interests such as security, fraud prevention, debugging and service improvement.
• Explicit consent where separately required, such as marketing communications.

7. Sharing and Service Providers

ReggBook does not sell user data and does not transfer it to third parties for marketing. Data may be processed through service providers necessary for the app to function, including Firebase, Firebase Cloud Messaging and Google Play Billing. Data may be disclosed to competent public authorities where legally required.

Business transfer, merger and acquisition: In the event of a sale, transfer, merger, acquisition, restructuring or asset sale involving all or part of ReggBook, user data may be transferred to the acquiring party as part of that transaction. The acquiring party will be required to handle the data with a level of protection at least equivalent to this Privacy Policy, and users will be notified of any such transfer through an in-app notice, email or an announcement on reggbook.com.

8. Retention

Basic data is retained while the account is active. After deletion requests, active data is deleted or anonymized within a reasonable period.

Some limited associated data may be retained for up to 1 year for subscription abuse prevention, service continuity, security and potential disputes. Where a longer legal retention period applies, that legal period prevails.

After branch closure, termination of employee/owner relationship or authority transfer, limited data such as name, email, phone, plan/subscription/trial status, company/branch relationship IDs, last entry mode, security tokens/logs and transaction times may be retained for the same limited purposes.

Cleanup of inactive accounts: Accounts that have not been signed into or otherwise used for 2 months may be considered inactive and automatically cleaned up by ReggBook; the associated data may be deleted or anonymized with or without prior notice. Data subject to a longer legally mandated retention period is excluded from this cleanup.

9. Deletion and Account Closure

Users may request deletion through the app or by contacting info@reggbook.com. Account deletion may be irreversible.

10. User Rights and Contact

Users may contact ReggBook at info@reggbook.com for access, correction, deletion and other applicable data protection requests.

11. Changes

This policy may be updated according to product, infrastructure or legal changes. The current version is published on reggbook.com.
